1. Invite your speakers
Set up your event and start inviting speakers right away: one by one, from an Excel or CSV file, or from your Sessionize export.
Assign each speaker a travel budget and booking class. Speakers don't see the budget itself. Their search results are adjusted to fit within it.
Each speaker receives an invitation e-mail with a personal booking link. You can customize these e-mails with your event branding.
2. Speakers pick their own flight or train
Your speakers search flights and trains themselves. The destination and travel dates are pre-filled from your event.
They filter by stops, airline, alliance, or time of day and pick the itinerary that works for them. Everything shown fits the budget and booking class you set, keeping travel cost under control.
When they find the right trip, they enter their passenger details and request booking approval.
3. You approve, we handle ticketing
You get notified of a pending request. Review the itinerary, passenger details, and price, then approve with one click.
SpeakerTravel books the trip and sends the ticket, calendar details, and full itinerary to your speaker. A good start for a pleasant trip to your event!
You receive an invoice for flight and train fares, ready for your organization's administration.
Put your event on auto-pilot
Import all accepted speakers from Sessionize or Excel in one go, set a default budget with an overrun margin, and enable auto-approval. Bookings within budget are then approved and ticketed automatically. You only step in when a request goes over budget.
